ERP alternatives: summary & key takeaways
What they are: For most services firms, ERP alternatives mean keeping your accounting system and adding a professional services automation (PSA) platform for delivery.
The ledger-or-delivery test: Five checks tell you whether your bigger problem sits in the ledger or in how projects get delivered.
Where Teamwork.com fits: Teamwork.com is the agentic PSA that owns delivery data while finance stays the system of record.
Verified pricing: Every price here comes from each vendor's own pricing page, checked in October 2026.
Most services firms looking for ERP alternatives don't need a smaller ERP. They need their accounting system to keep the ledger, and a PSA to capture what each project actually costs to deliver.
Before I joined Teamwork.com, I worked my way up to Account Director at agencies, and the number I needed most never lived in the ledger. It was what an over-serviced account had really cost us, and that sat in spreadsheets no finance system could read.
AI raises the stakes on that gap. When delivery takes fewer hours, an hourly invoice shrinks with it, so pricing a fixed fee safely depends on true cost per project. Planning people inside an ERP is a different job, and our guide to ERP versus resource management explains where the two part ways.
We've put Teamwork.com first because it's our platform. Each of the seven tools is matched to the part of the ledger-or-delivery split it handles best. You'll find delivery-first PSAs, PSAs with built-in services finance, and one modular ERP that replaces the ledger too.
What are ERP alternatives?
ERP alternatives take the two forms in that list: a modular ERP, or a split stack where accounting, PSA and CRM each do one job. Gartner defines ERP as "the ability to deliver an integrated suite of business applications." Those applications share "a common process and data model" across finance, HR, distribution, manufacturing, service and supply chain.
For a services firm, distribution, manufacturing and supply chain cover work you don't do. A PSA, or professional services automation platform, connects projects, resources and financials so you can see what each engagement costs while it runs. Our PSA software comparison covers the wider category if you're new to it.
Whichever route you choose, the software has to answer four questions finance asks every month:
What did this project actually cost to deliver?
Who's free to staff new projects next month?
What do we invoice this week without a reconciliation call?
Which clients earn margin, and which ones cost it?
The ledger-or-delivery test: do you need an ERP at all?
You need a full ERP only when your ledger problem is bigger than your delivery problem, and most of those four questions are about delivery. The ledger-or-delivery test turns that idea into five checks. Answer each one for the firm you run today, not the one you might run in five years.
Inventory or manufacturing: If any product line depends on stock or production, choose an ERP.
Entities and currencies: If your accounting system can't consolidate several legal entities and currencies at close, choose ERP-grade finance.
Where the leak is: If write-offs and unbilled hours cost more than a slow close, add a PSA.
Billing models: If you run fixed fee, time and materials, and retainers side by side, add a PSA.
Your close today: If finance is happy with the current close, keep the ledger and add a PSA.
If check 1 or 2 applies, ERP-grade finance is worth the project. Otherwise, the split stack fits, and check 3 tells you what the gap is worth.
Here's an illustrative example with stated assumptions. Say a 120-person firm bills 1,300 hours per person a year, and 3% of those hours are written off or never invoiced. At a $150 blended bill rate:
That's 4,680 lost hours and $702,000 a year in this example, which is a model rather than a benchmark. Put your own headcount, hours and rates into the Revenue Gain Calculator to size your version of the leak.
How much of that you recover depends on data quality, as SPI Research's 2026 Impact of AI on Professional Services report shows. Firms with highly ready data report project margins of 43.6%, vs. 35.2% for firms whose data is not ready or fragmented. SPI puts that gap at about $1.7mm in gross profit for a $20mm professional services organization.
So the data feeding your finance system matters more than which system holds the ledger. I'd test that before swapping anything: take three recently closed projects and check whether logged time, budget and the final invoice agree. If they don't, a new ERP inherits the same gaps.
The split stack has limits, though. Heavy inventory, many legal entities to consolidate, or more than 500 staff on global payroll all call for ERP-grade finance plus a connected PSA.
If you go that way, budget the whole project, licenses and integrations alike. Panorama Consulting Group's 2026 ERP Report found that "more than a quarter of organizations exceeded their project budgets." It cited "additional technology needs" as the leading cause, so scope every integration you'll need, delivery tooling included, before you sign.
If a rushed system switch has burned you before, being careful about another one makes sense. These five checks turn that caution into a decision: which side of the line your firm sits on, and roughly what the leak costs.
How we selected these tools
The same five checks shaped this shortlist, and the seven criteria below double as scoring columns for your own RFP. We assessed each tool using public product information, pricing pages, documentation and verified reviews, without hands-on testing.
Finance stays the system of record: Integrations with tools such as QuickBooks or Xero, so the ledger, AR, AP and revenue recognition stay put.
Live project margin: Budget burn and margin visible while projects run, not rebuilt after invoicing.
Billing model coverage: Native support for fixed fee, time and materials, and retainers.
Resourcing and utilization: Capacity and billable utilization visible across people and projects.
Quote-to-cash connection: A won deal flows from CRM to project to invoice without rekeying.
Team adoption: A platform delivery teams will log time in, which decides whether finance can trust the numbers.
Pricing and implementation load: Public pricing and a setup effort a 50–500 person firm can absorb.
Quick glance: 7 best ERP alternatives tools
Scored against those criteria, the seven tools fall into delivery-first PSAs, PSAs with built-in services finance, and one modular ERP. The pricing column shows each vendor's entry plan, taken from its own pricing page.

Tool
Teamwork.com
)
Teamwork.com is the agentic PSA (professional services automation platform) that owns delivery in the middle of your stack. Your CRM keeps the pipeline, and your accounting system keeps invoicing, AR, AP, revenue recognition and the ledger. Teamwork.com captures time, cost and billable value as delivery happens, with no migration and no change to month-end close.
Each capability below answers one of the five checks, starting with where margin leaks. Together they form one workflow that ends in an invoice.
Best features
See margin while the project runs: Budgeting & Profitability tracks fixed fee, time and materials, and retainer budgets against profit margin targets.
)
Catch overruns before they become write-offs: Budget thresholds flag a project nearing its limit, so a change order goes out first.
)
Bill what was worked: Hours from time tracking become invoices, and the QuickBooks integration passes them to your ledger.
)
Price from real cost: Quotes built with quoting and costing use role-based and client rates, plus what comparable projects actually cost.
)
Keep billable capacity full: The Workload Planner in resource management shows who's free, and the AI Utilization Summary sums up utilization by person.
)
When SugarCRM moved projects, time tracking and billing into one platform, it reached near-perfect invoicing accuracy. It had less than $20K credited on $10M+ in annual invoicing. Delivery teams describe the same connection in one G2 review.
"Time tracking, budgets, workload planning, and profitability are all part of the daily workflow instead of feeling like features that were bolted on later." — Omar S., Project Manager, G2
Delivery agents for repeatable work are coming, with agent cost shown in the same margin reporting as your people. Everything above is live today, built on the same delivery data your invoices come from.
Limitations
Not a general ledger: By design, AR, AP and revenue recognition stay in your accounting system.
Some finance features sit on Optimize: Quoting, CRM pipeline-to-project, profitability insights, and NetSuite and Salesforce connectors need the Optimize plan.
Setup needs structure up front: Standardize project templates and rates before rollout, or margin reports will reflect the inconsistency.
Pricing:
Free: $0 per user/month (max 5 users)
Basics: $9.99/user/month (billed yearly, min 3 users)
Accelerate: $24.99/user/month (billed yearly, min 5 users)
Optimize: Let's talk (contact sales), billed yearly
Enterprise: Let's talk (contact sales)
Kantata
)
Kantata is an enterprise PSA for larger services organizations, with resource management as its center of gravity. It suits firms whose biggest delivery problem is staffing many people across many projects. Its Salesforce-native option fits teams that already run their pipeline there.
Check how much of the resourcing model your team will maintain week to week, since depth only pays off when the data stays current. Our Kantata alternatives roundup compares it with lighter options.
Limitations
Custom pricing: Costs aren't published, so budget comparisons need a sales conversation.
Heavier implementation: Expect more setup work than a self-serve tool needs.
Built for larger organizations: Firms near 50 people may pay for depth they won't use yet.

Certinia
)
Certinia pairs a Salesforce-native PSA with ERP-grade services finance, so delivery and financials share one platform. It suits firms already standardized on Salesforce whose answers to the entities-and-currencies check point toward heavier finance.
Before you shortlist it, confirm who will administer the Salesforce side and what that adds to your running cost. Our Certinia alternatives guide covers options outside Salesforce.
Limitations
Salesforce dependency: It fits best when Salesforce is already your CRM.
Demo-gated pricing: You'll need a demo before you see a number.
Admin load: Expect ongoing platform administration alongside delivery setup.

Productive
)
Productive is an agency-focused PSA that combines budgeting, resource planning and time tracking in one tool. Accounting connections vary by plan, so check which tier connects to your accounting system before you compare per-seat prices.
Limitations
Tier-gated integrations: Accounting connections depend on the plan you buy.
Seat minimum: Essential and Professional require at least 3 seats.
Pricing:
Essential: $12/user/month (billed monthly, min 3 seats; yearly saves up to 17%)
Professional: $29/user/month (billed monthly, min 3 seats)
Ultimate: Let's talk (contact sales)
Scoro
)
Scoro sells its PSA as eight modular apps covering tasks, time, resourcing, sales, estimates, spend and invoicing, which combine into quote-to-cash. WIP and revenue recognition come with End-to-end, and it integrates with QuickBooks, Xero and Sage Intacct.
Finance should decide early whether revenue recognition lives in Scoro or stays in your ledger. Firms that want to buy only the modules they need now get the most from the modular pricing.
Limitations
Price rises with apps: Adding apps moves you to a higher-priced combination.
User minimum: Plans start at 5 users.
Onboarding packages: Teams of 26 or more people go through an onboarding package.
Pricing:
Time-billing: $17/user/month (min 5 users; annual billing gives 13–17% discount)
Projects & Resources: $29/user/month (min 5 users)
Quote to Cash: $29/user/month (min 5 users)
End-to-end: $57/user/month (min 5 users)
Accelo
)
Accelo is a client-delivery platform that combines CRM and sales, projects, retainers, time and billing. It suits firms running fixed-fee projects and retainers side by side that want sales and delivery history on the same client record.
Limitations
User minimum: Its how-to-buy page notes a 15-user minimum.
Quote-only pricing: You'll need a sales conversation to compare costs.

Odoo
)
Odoo is the lighter, modular ERP route: Accounting, Project, Timesheets, CRM, HR and Inventory run on one database for one price. It suits firms whose answers point at the ledger but can't justify a tier-one ERP.
Limitations
Partner implementation: Firms with 50 or more employees implement through a partner, and that cost isn't included.
Configurable PSA depth: Project and PSA capability depends on how the apps are configured.
Ledger replacement: You're replacing your accounting system too, so plan the finance migration.
Pricing:
One App Free: $0 (one app, unlimited users)
Standard: $24.90/user/month (billed yearly; 12-month discount for initial users; regular $31.10)
Custom: $49.00/user/month (billed yearly; 12-month discount for initial users; regular $61.00)
Where ERP alternatives go wrong for services firms
The most expensive mistake across all seven options is replacing the ledger when the leak is in delivery. It usually takes one of two forms.
The first buys an ERP for project accounting, then finds delivery teams won't log time in finance software. Hours arrive late or estimated, so project margin rests on guesses. The second buys a project tool that can't hold cost rates, and margin gets rebuilt in spreadsheets every month.
On the agency side, forecasting never got easier, and the same people stayed late while the averages said workloads were fine. That taught me to judge a tool by whether the delivery team will actually use it. A system nobody updates produces numbers finance can't put its name to.
Run one check before you buy anything: put a week of real projects through a trial. Log the time, raise an invoice and see whether project margin appears without a spreadsheet.
Why Teamwork.com stands out for ERP alternatives
Both mistakes come from the same gap between where work is tracked and where money is managed. Project tools track the work but can't manage the money. Traditional PSAs manage the money, but teams resist them, so the data going in is poor.
Teamwork.com, the agentic PSA, gives you PSA-grade financials in a platform your project leads will actually log time in. Because time, cost and billable value are captured once, a won CRM deal becomes a budget and then an exact bill. That gives you the choice of where the gain goes: price the same and keep the margin, or price sharper to win the next bid.
That adoption shows up in capacity: Teamwork.com reports a 22% boost in billable utilization. That extra billable time lands in the same margin view finance reads.
On AI, a person stays in charge. AI Forecasting builds forecasts from your own delivery actuals, and your team reviews them before anyone acts. Delivery agents, still in development, will follow the same rule.
