7 best Float alternatives for resource scheduling in 2026

Blog post image

Float alternatives: Summary & key takeaways

  • What Float does now: Float lists budget tracking, budget burn and margin tracking, with time tracking on its Pro plan.

  • Why teams still switch: Float doesn't send invoices or run day-to-day task delivery, so its margin depends on three tools staying in sync.

  • How to choose: Compare Float alternatives by the gap you're closing: seat price, forecasting, task handoffs or billing.

  • Top picks: Teamwork.com fits teams that want one connected system, while Resource Guru and Teambook fit teams that need a lighter scheduler.

The right Float alternative depends on the gap you're leaving Float to close. You might want a cheaper seat, a scheduler that forecasts further ahead, or one system where schedule, tasks, time and invoices share data.

Before I joined Teamwork.com, forecasting was the part of agency resourcing I found hardest, because the plan sat in a spreadsheet and the hours in a basic time tracker. Before comparing feature lists, count how many places your plan and your actuals live today.

Float is well liked, with 4.3 out of 5 from 2,160 reviews on G2 as of October 2026. It has caught up on money too: its pricing page lists budget burn, margin tracking and a project finance dashboard.

Even so, Float doesn't send the invoice or run day-to-day task delivery: it scopes projects with phases, milestones and tasks, while delivery runs in a separate project tool. Its margin is only as current as the sync between your schedule, project tool and finance system. Our guide to resource scheduling covers the fundamentals if you need them.

This is our review of seven Float alternatives for client services teams. We've put Teamwork.com first because it's our platform, and we've judged every tool, ours included, against the same criteria. Each one is matched to the gap it closes best, so you can go straight to yours: seat price, forecasting, task handoffs or billing.

What is a Float alternative?

A Float alternative is any tool that takes over Float's job of scheduling people against projects. Which gap it closes depends on how much of the delivery and money around that schedule it also handles.

At the far end sit PSAs: a PSA, or professional services automation platform, runs projects, people and financials in one system. Gartner's glossary defines PSA as "the integration of planning, resource management, project management and project accounting for service organizations." Gartner's entry uses the term professional services administration for that definition.

Whichever tool you pick, it should answer these questions without a spreadsheet:

  1. Who's free to start a new project next week?

  2. What slips if a client moves a date?

  3. Is this project still making money?

  4. What should we bill this month?

A pure scheduler answers the first two, and a scheduler with financials, where Float now sits, gets close on the third. Only a PSA answers all four. Our resource scheduling software roundup covers the wider category.

How we selected these tools

We judged each tool against seven criteria, using public product information, pricing pages, documentation and verified reviews, checked in October 2026.

  • Scheduling depth: Allocation by hours or percentages, tentative work and placeholders for unfilled roles.

  • Capacity and forecasting: How far ahead you can see who's free, including pipeline work.

  • Time tracking against the plan: Whether logged hours sit next to scheduled hours without an export.

  • Budgets, rates and margin: Budgets, cost and billable rates, and live margin per project.

  • Tasks and delivery: Whether tasks live in the same system as the schedule.

  • Billing handoff: Native invoicing, or a direct link to your accounting system.

  • Pricing model: Per person, per seat or per project, and how each scales.

Teamwork.com

Blog post image

Teamwork.com is the agentic PSA where the schedule, the tasks, time, budgets and invoicing run on the same data. It suits 50 to 500 person firms that want to stop reconciling a scheduler, a project management tool and a spreadsheet.

For a team leaving Float, the difference is in the handoffs. Scheduled hours, tasks, logged time and the resulting invoice live in one place, so nobody re-keys the plan.

Best features

  • Workload Planner: See each person's capacity for the coming weeks and drag work to someone with room. Existing allocations show, so you avoid overbooking.

Blog post image

  • Utilization Report and Utilization Summary: See who's over or under target at a glance in the team utilization view.

Blog post image

  • Time tracking and timesheets: People log time against the work they're scheduled on. Planned and actual hours sit side by side, with no export.

Blog post image

  • Budgets and profitability: Run fixed-fee, time and materials or retainer budgets with alerts. The profitability report shows margin at cost and billable rates.

Blog post image

  • Invoices built from logged time: Turn billable hours into a client invoice inside Teamwork.com, then pass it to QuickBooks.

When digital agency Invanity moved workload planning, timesheets, budgets and cost rates into Teamwork.com, it spent 80% less time on weekly workload management. Use that as a yardstick for your own trial by timing your weekly workload changes before and after.

Limitations

  • Scheduling by role or skill, Tentative Projects and financial budgets sit on the Optimize plan.

  • If you only need a calendar of who's booked where, Teamwork.com is more system than you need.

Pricing

Accelerate covers workload planning, time budgets and retainers, and invoices from logged time. Optimize adds quotes, scheduling by role or skill, and financial budgets.

  • Free: $0 (max 5 users)

  • Basics: $9.99/user/month (billed yearly)

  • Accelerate: $24.99/user/month (billed yearly)

  • Optimize: Let's talk (contact sales)

  • Enterprise: Let's talk (contact sales)

Ratings and reviews

Teamwork.com holds 4.4 out of 5 from 1,214 reviews on G2 as of October 2026. One project manager puts the difference this way:

"Time tracking, budgets, workload planning, and profitability are all part of the daily workflow instead of feeling like features that were bolted on later." — Omar S., Project Manager, G2

Productive

Source: G2Source: G2

Productive is a PSA that puts resource planning, tasks and budgets on its entry plan, per its pricing page. It suits firms that want to retire Float and a separate project tool in one move. Productive charges per user while Float charges per scheduled person, so compare total seat counts rather than list prices.

Best features:

  • Resourcing with tasks: Essential includes resource planning, project and task management, and time tracking in one plan.

  • Budgets and expenses: Budgeting, expense management and reporting start on Essential, with recurring budgets on Professional.

  • Rates and approvals: Professional adds rate cards, billable time approvals, expense approvals and skills.

  • Scenario Builder: Ultimate lets you test different project scenarios and forecast revenue before you commit people.

Limitations:

  • Rate cards and invoicing integrations need Professional, so margin at billable rates costs more than the entry price.

  • Scenario Builder, revenue forecasting and the HubSpot integration sit on Ultimate, which is sold through a demo.

  • Invoicing runs through integrations rather than inside Productive itself.

Pricing:

  • Essential: $10/user/month (billed yearly; $12/user/month billed monthly)

  • Professional: $25/user/month (billed yearly; $29/user/month billed monthly)

  • Ultimate: Let's talk (book a demo)

Scoro

Source: G2Source: G2

If you'd rather buy only the parts you need, Scoro splits its PSA into eight apps and sells them in combinations. It suits firms that want quoting, delivery and invoicing together, which the Quote to Cash combination covers with Estimate, Deliver, Track and Invoice. Our roundup of Scoro alternatives compares it with similar platforms.

Best features:

  • Resource app: Bookings, a planner, availability indicators, time off and a utilization report.

  • Estimate app: A quote and budget builder with cost and margin planning before work starts.

  • Invoice app: Invoice generation, recurring billing and a margin report.

  • Track app: A time tracker, timesheets, billable time and labor cost.

Limitations:

  • Projects & Resources doesn't include Invoice, so resourcing and invoicing together means End-to-end at $57 per user per month.

  • Every combination needs at least 5 users and at least two apps.

  • Self-onboarding covers teams of up to 15 people, so larger teams should plan for guided onboarding.

Pricing:

  • Time-billing combination: From $17/user/month (cadence not stated on page; minimum 5 users)

  • Projects & Resources combination: $29/user/month (cadence not stated on page; minimum 5 users)

  • Quote to Cash combination: $29/user/month (cadence not stated on page; minimum 5 users)

  • End-to-end combination: $57/user/month (cadence not stated on page; minimum 5 users)

Runn

Source: G2Source: G2

For a like-for-like swap that plans further ahead, Runn is a dedicated resource planner priced per resource seat. It suits teams that like how Float works but want forecasting on the entry plan. Its 30-day free trial of Standard needs no credit card, so use it to check what will still live outside Runn: if tasks and invoices stay in other tools, so do the handoffs between them.

Best features:

  • Forecasting on Lite: Tentative projects, placeholders, and capacity and utilization charts all come on the entry plan.

  • Project financials: Project budgets, rate cards and planned vs actuals, also on Lite.

  • Bench reporting: See who's unassigned, alongside skills, tags, time off and public holidays.

  • Standard upgrades: Timesheets, utilization insights, budget by phase, integrations and the API.

Limitations:

  • Timesheets need Standard, and Harvest or Clockify integrations come only on Advanced, on request.

  • Plans start at 20 resource seats, which puts the smallest Lite plan at $140 a month at list price.

  • The pricing page lists no task management or invoicing features.

Pricing:

  • Lite: $7/resource seat/month (per resource seat; plans start at 20 seats)

  • Standard: $11/resource seat/month (per resource seat; monthly or annual)

  • Advanced: Custom pricing (contact sales)

Resource Guru

Source: G2Source: G2

Resource Guru keeps scheduling simple and cheap, and it books meeting rooms and equipment alongside people, which Float doesn't. It suits teams that want a low-cost scheduler with strong clash handling, and a free trial lets you test it on a real week.

Best features:

  • Clash management: Advanced clash management, tentative bookings and elastic overtime come on every plan.

  • Rooms and equipment: Other resources cost less than people, at $2.50 each on Grasshopper.

  • Leave and calendars: Leave management, public holiday calendars and calendar sync on every plan.

  • Budgets on Blackbelt: Project rates and budgets, forecast vs actuals and heatmap views.

Limitations:

  • Grasshopper has no reports or timesheets and only 1 placeholder; those start on Blackbelt.

  • Master costs $12 per person per month, the same as Float Pro, so the top tier saves nothing on seat price.

  • The pricing page lists no task management or invoicing.

Pricing:

  • Grasshopper: $5/person/month (billed monthly; 2 months free on annual; other resources $2.50 each)

  • Blackbelt: $8/person/month (billed monthly; 2 months free on annual; other resources $4 each)

  • Master: $12/person/month (billed monthly; 2 months free on annual; other resources $6 each)

  • Enterprise: Contact sales

Teambook

Source: G2Source: G2

Teambook charges by project instead of by person: €2 per project per month, with unlimited users. It suits firms with many people and few projects, because managers, planners, consultants and even clients all join without raising the bill.

Best features:

  • Unlimited users: The bill grows with projects, never with headcount.

  • Capacity add-on: For €1 more per project, visualize and simulate available capacity.

  • Timesheet add-on: For €1 more per project, log and approve time.

  • Guest access: Share schedules through secure links, with mobile apps and 90-day audit logs on every plan.

Limitations:

  • Capacity and timesheets cost extra, so 30 projects with both add-ons come to €120 a month.

  • Lots of small projects push the bill up, and prices are in euros with yearly invoices by bank transfer.

  • XL plans go through sales, so very large portfolios won't see a list price.

Pricing:

  • Core plan: €2/project/month, unlimited users (discount with annual subscription)

  • Capacity add-on: +€1/project

  • Timesheet add-on: +€1/project

Kantata

Source: KantataSource: Kantata

Kantata is an enterprise PSA that positions itself as AI-powered, built for larger services organizations. It suits firms whose integration needs, rather than seat price, drive the decision. Our guide to enterprise resource management covers what to weigh at that scale.

Best features:

  • Prebuilt connectors: Its pricing page lists 1,200+ prebuilt connectors.

  • Secure APIs: Connect Kantata to the systems your connectors don't cover.

  • Built-in MCP support: Link AI tools to Kantata data through a standard protocol.

Limitations:

  • Pricing is tailored to company size and goals, so you speak to a PSA Advisor before you see a number.

  • A platform at this scale asks more of your team during rollout, so ask for the plan alongside the quote.

Pricing:

  • All plans: Pricing available on request

The Float gap check: match the alternative to why you're leaving

The quickest way to choose between Float alternatives is to name the one thing Float isn't doing for you. Then pick the tool type that closes it. Saving on seats and ending a three-tool sync lead to different shortlists, as the reviews above show.

The Float gap check

Why you're leaving Float

Tool type that closes it
Shortlist
Watch out for
Cost per scheduled person keeps climbing
Per-project or lower per-person scheduler
Teambook, Resource Guru
Fewer financial tools
You need longer-range forecasting
Forecasting-first resource planner
Runn
You keep a project tool and billing handoff
Schedule and tasks live in different tools
PSA with tasks and scheduling together
Teamwork.com, Productive
Migration effort on live projects
Margin depends on syncing schedule, timesheets and finance
PSA with time, budgets and invoicing
Teamwork.com, Scoro, Productive
Which tier includes rates and invoicing
Large, complex organization
Enterprise PSA
Kantata
Price on request; ask for the rollout plan

The table only helps once you put numbers on it, so start with the price row at list price. Say you schedule 40 people across 25 projects, using the list prices each pricing page shows. Float Pro comes to $480 a month and Resource Guru Blackbelt to $320, though Float's page doesn't confirm whether its price is monthly or annual. Teambook with timesheets comes to €75, but the cheaper options carry fewer financial tools.

Price isn't the whole story, though. If you're happy with a separate project tool, stay with a scheduler. You've outgrown that setup when someone rebuilds the plan in the project tool every week, or reconciles timesheets by hand before invoicing. That rework is where margin slips between tools.

Switching mid-delivery is a lot to ask of a busy team, so keep the test small and real:

  1. Pick one live project with a budget you know well and at least three people on it.

  2. Run it in the new tool and in Float side by side for two weeks.

  3. Move a delivery date and note what updates on its own and what you change by hand.

  4. Log a week of time and compare planned against actual hours for each person.

  5. Produce the invoice or budget report without opening a spreadsheet.

Per-person hours matter because workload is the burnout cause people name most often. In a 2024 Eagle Hill Consulting survey, 51% of burned-out US workers named it as the top cause. That makes step four the one to watch. Our utilization calculator gives you a billable utilization baseline before you start.

On my agency teams, late nights kept landing on the same people while others finished on time. That imbalance did more damage than the total hours, and the team average hid it. So check that any tool you trial shows each person's load separately, not just the average.

The test has a limit. Under about 15 people with one project tool you like, a scheduler is enough, and a PSA's setup time won't pay back yet.

Why Teamwork.com stands out for Float alternatives

Teamwork.com stands out among Float alternatives when your gap check lands on rows three or four. As the agentic PSA, it keeps the schedule, tasks, time and invoice on shared data. A moved date shows up in the plan, budget and margin together.

Project tools track the work but can't manage the money, and traditional PSAs manage the money but struggle to get teams using them. Teamwork.com gives you PSA-grade financials in a platform your project managers will actually plan in and log time against, which keeps the margin figures trustworthy.

Planning against pipeline is where one system pays off early. Tentative Projects reserve people against deals before they close, so you know you can staff the work before you say yes. On Optimize, you also create quotes and turn CRM pipeline into projects there.

If you're leaving Float for a cheaper seat, a scheduler will do. If you're leaving over the handoffs between schedule, tasks, time and invoice, Teamwork.com removes them.

FAQs about Float alternatives

What is the best alternative to Float?

The best alternative to Float depends on what you need that Float doesn't do. Teamwork.com fits best if you want scheduling, tasks, time, budgets and invoices in one system. For a cheaper scheduler, look at Resource Guru or Teambook; for a like-for-like planner, Runn; for large organizations with heavy integration needs, Kantata.

Does Float have time tracking and budgets?

Yes, Float now offers both, with time tracking on the Pro plan at $12 per scheduled person per month. Its pricing page also lists budget tracking, budget burn and margin tracking. Invoicing isn't listed, and while Float scopes projects with phases, milestones and tasks, it isn't built to run day-to-day task delivery. Teams still pair it with a project tool and a finance system.

Is there a free Float alternative?

Yes, Teamwork.com's Free plan covers up to 5 users, so you can test the workflow at no cost. Teambook and Runn offer 30-day free trials (Runn's covers Standard), Resource Guru offers a free trial, and Teamwork.com's paid plans come with a 14-day trial. Use the free period to price the tier that includes rates and budgets.

What's the difference between Float and a PSA?

Float is resource management software that schedules people against projects, scopes them with phases, milestones and tasks, and now tracks budgets, margin and, on Pro, time. A PSA also runs day-to-day task delivery and the billing, so the schedule, the work and the invoice share one set of data. Float's homepage tells you to keep your CRM, project tool and finance stack, which marks the line.

How hard is it to switch from Float to Teamwork.com?

Switching from Float to Teamwork.com mostly takes setup effort: roles, rates, working hours and budget types need agreeing before the schedule and reports are useful. Start with the two-week parallel test on one live project during the free trial. Give project managers time in the Workload Planner before moving everything across.
