Assign Tasks to Roles: Plan before assignment is finalized

Project planning rarely starts with task assignment locked in. You know the work that needs to happen, but the exact people? That often comes later.

Until now, tasks in Teamwork.com required you to assign work to a specific user or team from the start. That created friction during early-stage planning, especially when task assignment decisions were still evolving.

Assigning tasks directly to a Role in Teamwork.com is now live, allowing you to build out a full project plan even if you haven’t confirmed exactly who will do the work yet. Whether you’re planning tentative work or mapping project timelines, you can now define the type of talent needed first, and assign the person later.

Build better plans with role-based work

Assigning tasks to Roles gives you the flexibility to keep planning moving, even when the exact people aren’t known yet. Now, instead of assigning a task to a specific person, you can assign it to a role like:

  • Designer

  • Engineer

  • Project Manager

  • Graphic Designer

This allows you to plan work around the function required, not just the people you remember off the top of your head. The result? More strategic planning, better forecasting, and fewer bottlenecks when it’s delivery time.

Define roles early, deliver projects faster

Assigning tasks to roles is especially valuable during the pre-work stage of the project lifecycle. You can assign tasks to roles in both project templates and task list templates, making these blueprints even more robust and useful. When you launch a project from a template, the required roles are already in place—easy peasy!

This functionality is also available in tentative projects, helping you forecast capacity by function and reserve roles during project scoping. Once the project is confirmed, simply convert it to an active project and the assigned roles will carry over automatically. When staffing is finalized, you can quickly reassign the work to the appropriate team members.

Seamless and smart task re-assignment

When it’s time, moving tasks from roles to named users is simple—and we even suggest users who are the best match based on the affiliated Role! Tasks can be reassigned individually or in bulk, helping speed up the process while still offering the needed flexibility.

Introducing this new workflow means less manual, tedious, corrective reassignment and a much faster path to execution.

Task assignment that scales from planning to delivery

So next time you need to assign a task, assign the work first and the right person will follow. By using role-based task assignment, this will help:

  • Strengthen project scoping

  • Forecast capacity more accurately

  • Keep projects moving

  • Reduce manual and corrective reassignment

Keep your eyes peeled for this functionality to expand to other areas of Teamwork.com—better strengthening the connection between planning and finance.
